Position Overview

The Summer Camp Administrator is responsible for the smooth and efficient operation of the camp office and administrative systems. This role supports the Ownership, Senior Director, staff, parents, and campers by managing communication, records, logistics, and daily office functions.  The Administrator ensures that camp runs in an organized, professional, and camper-focused manner.

Key Responsibilities

Administrative & Office Management

  • Maintain camper and staff records, files, and databases (registration, health forms, travel forms).
  • Manage phone, email, and in-person communication with parents, visitors, and staff.
  • Keep invoices, bills and receipts in order to be given to Tammy in Oakville
  • Coordinate petty cash as directed.
  • Coordinate mail, supplies, deliveries, and inventory for camp programs.
  • Ensure confidentiality and secure handling of sensitive information.

Communication & Parent Relations

  • Act as the first point of contact for parent inquiries and concerns.
  • Provide timely updates and information about camp policies, schedules, and camper needs.
  • Support parent communications through phone calls and emails
  • Serve as the primary point of contact for initiating and disseminating all emergency response communications, ensuring timely and accurate coordination and follow up with Health Care staff, Ownership, and Senior Directors.

Staff Support

  • Assist with bus scheduling, camper and staff travel planning and execution.
  • Maintain records of staff certifications and compliance requirements.
  • Monitor staff paperwork- tax documents, certifications, contracts, pay roll

 

Program & Logistics Support

  • Coordinate camper transportation lists.
  • Assist in organizing special events, day trips, and visitor coordination.
  • Works with head of maintenance to plan daily boat trips, trucking trips
  • Monitor office supplies and ensure the camp office runs efficiently.
  • Assist Section leaders with cabin placements (spring)

Qualifications

  • Strong organizational and time-management skills.
  • Excellent written and verbal communication.
  • Proficiency in office software (Microsoft Office, camp-specific software).
  • Ability to learn new software quickly.
  • Strong typing and data-entry skills
  • Ability to handle confidential information with professionalism.
  • Experience in administration, customer service, or camp settings preferred.
  • Ability to work independently, remain calm under pressure, and adapt to changing priorities.

Working Conditions

  • Fast-paced office environment within a camp setting.
  • Seasonal, with extended hours during peak camp operations.
  • Involves both desk work and interaction with campers, parents, and staff.

Salary

  • Room and Board provided at no additional cost
  • Competitive Salary based on experience and qualifications
  • $900-1100 weekly
