As we scale up, we’re seeking an organized and versatile Office Administrator to keep our operations running smoothly behind the scenes.
The Role: Office Administrator
This is a key support role within a dynamic, seasonal business. You'll work closely with our Operations Manager, project teams, and clients to coordinate everything from project scheduling and communications to documentation and procurement. While this role is primarily office-based in Bracebridge, it offers variety, autonomy, and the chance to make a direct impact.
Core Responsibilities
Administrative Coordination
- Serve as the communication hub between the office, field teams, suppliers, and clients
- Track and file documentation, including project records, contracts, and permits
- Monitor inboxes and phone lines, directing inquiries and following up as needed
Project and Client Support
- Communicate with clients to confirm scheduling, share updates, and collect required information
- Assist in preparing proposals, invoices, and job cost estimates
- Maintain client records and support warranty and service request tracking
Inventory & Purchasing Support
- Assist with ordering materials and coordinating deliveries with our manufacturing and installation schedules
- Monitor inventory levels and support reordering in coordination with shop and field teams
HR & Team Support
- Assist with onboarding seasonal staff and coordinating training documentation
- Support payroll prep and timesheet collection
- Help plan occasional team meetings and company events
Qualifications
- 1+ years of administrative or office coordination experience
- Strong organizational and multitasking skills
- Excellent written and verbal communication skills
- Comfort with technology: email, spreadsheets, shared calendars, and cloud-based systems
- Ability to work independently and adapt to seasonal rhythms in workload
- Bonus: Experience with construction or manufacturing companies, or knowledge of QuickBooks, OrderTime, and Microsoft 360 Suite.

Pay: $52,000.00-$60,000.00 per year
