Position: Building Permit Coordinator
Status: Contract, 14 Months, possibility of extension (pregnancy/parental leave)
Start Date: August 11, 2025
Salary Range: $33.03 – $38.64/hour, based on 35 hours per week

Overview of the Opportunity
Reporting to the Chief Building Official (CBO), within the Development Services & Environmental Initiatives department, this position will provide administrative support to the CBO, Deputy Chief Building Official (DCBO) and the Building Inspector. Acting as the primary point of contact for ratepayers/clients seeking information on building regulations within The Archipelago, this role provides administrative, technical, fiscal and clerical oversight.
What You’ll Do
- Assist the public, contractors, designers, etc. with relevant information regarding zoning, construction restraints, and other requirements necessary for receipt of a building permit.
- Review permit applications for completeness and compliance.
- Process building permits, occupancy permits, orders, compliance letters, invoices and track/collect outstanding building permit fees. Ensure necessary documentation is distributed to clients/ratepayers and inspectors.
- Monitor, schedule, and track inspections requested, ensure inspections are performed within the legislated time frames.
- Maintain and monitor status of permits, archive records into electronic document manager program, file and maintain archived plans in accordance with retention by-law. Update and maintain website building information, develop and maintain databases for tracking associated with permit information.
- Assist and respond to inquiries from the public, staff and Council regarding planning related matters.
- Prepare and distribute monthly reports, correspondence and information to Council, assessment office, government agencies and the CBO.
- Manage and maintain municipal addressing system. Assign new addresses and coordinate replacement signage.
- Provide backup for general walk-ins and phone calls. Compile information for Freedom of Information Requests.
Education
- 2-year post-secondary education in building sciences, business, office administration, or other applicable programs.
Experience and Skill
- Minimum 2-4 years of related municipal administration, construction experience, an asset.
- Knowledge and understanding of Ontario Building Code Act, Ontario Building Code, Municipal Zoning By-Laws and other applicable legislation.
- Ability to read and interpret construction drawings. Basic construction-related terminology considered an asset.
- Knowledge of office management and computer systems/programs (i.e. office/building permit software).
- Excellent verbal and written communication skills with the ability to exercise tact and diplomacy is essential.
- Advanced organization and analytical skills are critical.
- Advanced computer literacy skills utilizing Microsoft Office Suite 365 (PowerPoint, Word, Excel, Outlook, Teams and SharePoint) and GIS mapping.
