Assistant Event Coordinator – Northridge Inn
Term: May 2025 – October 2025 Compensation: Full + Gratuities | Full-time (44 hours/week) | Weekends & late nights required, $25/hour
Are you passionate about creating unforgettable experiences? Northridge Inn, a boutique luxury resort in Almaguin, is seeking a highly organized and motivated Assistant Event Coordinator to support our busy 2025 season. This role focuses on seamless event execution, client communication, and on-site coordination for weddings, corporate retreats, and special events.
Role Responsibilities:
● Assist in opening and closing the service department for the season, ensuring all dining and bar areas are fully prepped and compliant
● Assist in planning and lead the execution of weddings, corporate events, and guest experiences
● Act as the primary liaison and day-of coordinator for events, ensuring smooth operations
● Coordinate event logistics with vendors, decorators, photographers, and internal teams
● Manage on-site event setup and takedown, including decor placement and scheduling
● Communicate directly with clients to confirm event details and manage expectations
● Prepare timelines, event summaries, and planning documents
● Support sales efforts by helping with proposals, contracts, and client outreach
● Problem-solve and adapt to last-minute changes during live events
● Conduct inventory checks and maintain accurate records of bar, dining, and service supplies
● Assist with staff onboarding and training, ensuring team members understand operational procedures and service standards
The Ideal Candidate Will Have:
● 2+ years of experience in event coordination, hospitality, or a related field
● Exceptional organizational skills with the ability to multitask under pressure
● Strong client communication and interpersonal skills
● Adaptability in a fast-paced, dynamic environment
● A keen eye for detail and a passion for creating memorable guest experiences
● Physical ability to assist with event setup (lifting up to 30 lbs)
● Availability for weekends, evenings, and holidays throughout the season
