Position Summary
The Inventory Control Clerk is responsible for vehicle and equipment parts and materials ordering, fuel orders, issuing purchase orders and following-up on delivery schedules, warranty and returned items tracking, construction materials ordering, shipping and receiving, service and maintenance records keeping, computerized inventory control tracking and reporting, building maintenance and security co-ordination, arranging for utility service locates and assisting with budget control. This position is also responsible for the supervision, administration, maintenance, and daily operations of the Muskoka Wharf Marina Gas Bar.
Duties & Responsibilities
- Arrange for and secure the correct and required inventory of repair, maintenance and service parts and materials for the fleet of vehicles and equipment. Including (but not exclusive to) lubricants, filters, hardware, tires, belts, hoses, blades, cutting edges, lights, wiring and electrical components to ensure the timely and cost efficient service and repair of the vehicle fleet.
- Issue and track purchase orders issued for the purchase of parts and materials and follow up on delivery schedules and methods to ensure timely and correct delivery of the materials and supplies requested.
- Monitor and ensure that all parts and inventory being replaced as part of the suppliers / manufacturer’s warranty terms and conditions are undertaken in a timely fashion and in accordance with the suppliers / manufacturer’s warranty provisions.
- Arrange for and secure the correct type and supply of construction materials and supplies including (but not exclusive to): winter road salt and sand, other granular materials, culvert stock, catch basins, asphalt and cold mix patching compound, other construction materials as may be required, road and construction signs and safety supplies and materials to ensure the timely and cost efficient supply and inventory.
- Accept stock / restock and return all physical inventories in use at and by the Infrastructure Services Department as required, in a timely and accurate fashion.
- Track, issue and close-off (in conjunction with the Infrastructure Services Mechanic) all work orders and service records issued for the service and repair of all of the equipment and vehicles maintained by Public Works (including those used by Building, By-Law, Recreation Services and the Fire Department).
- Assisting with budget control Monitor, count and account for the physical inventory of all parts and materials in use and stored by the Infrastructure Services Department.
- Administer the flow of physical inventory and invoices by way of a computer-based inventory program and ensure that all materials and invoices are assigned to the correct GL and activity code(s), in co-ordination with the Fleet and Yard Coordinator. Assist the Admin Clerk 2-Infrustructure Services and the Fleet and Yard Coordinator with the preparation and control of the annual budget as it relates to the inventory and control of parts and materials used by the Infrastructure Services Department.
- Assist with the service and maintenance of the Crawford Road Works Yard including (but not exclusive to): proper inspections of the fire safety and alarm equipment, WHMIS / MSDS data sheets, emergency and fire safety inspections, plumbing, electrical and physical repairs and the general housekeeping requirements to ensure a safe and effective facility. Notify the Fleet and Yard Coordinator of any needed corrections.
- Monitor, order and input data into fuel management system. Reconcile stock and consumption by way of regular dips, meters and logs. Assist with user and equipment management.
- Assist with special projects and perform other duties as assigned by the Fleet and Yard Coordinator. Accept and participate in training opportunities as they are provided
Muskoka Wharf Marina Gas Bar
- Schedule and monitor performance of seasonal staff, to ensure that duties and responsibilities assigned are completed in a safe, timely and efficient Motivate staff in terms of work performance, safety, and operational efficiency. Notify Fleet and Yard Coordinator of any corrective action.
- Assist with interviewing, selection, recruitment and recommendations for hiring of seasonal personnel.
- Control inventories, fuel orders and ensure receipt of goods/materials and their compliance with applicable laws and regulations.
- Conduct weekly off-season site inspections. Notify the Fleet and Yard Coordinator of any issues.
- Ensure WHMIS/MSDS Data Sheets are up-to-date and that alarms and locks are maintained.
- Receive and handle customers and issues/complaints.
- Conduct financial controls and ensure budget compliance, in conjunction with Fleet and Yard Coordinator. Review and complete daily start and end-of-shift revenue reports and other administrative reports;
Education, Skills and Experience
- Secondary School Graduate
- A minimum of three (3) years experience in automotive and / or construction equipment and heavy trucks parts ordering and inventory control.
- Computer literacy in Word, Excel, internet inquiries and e-mail
- Demonstrated ability to work in a team environment
- Strong customer service, analytical, mathematical, decision making and problem solving skills
- Supervisory or leadership skills/experience would be considered an asset
- Proficiency in oral and written communication
- Ability to demonstrate initiative and excellent organizational skills
- Ability to work weekends and after hours
- Working knowledge of PSD Citywide is an asset
- Hold a Valid G Ontario Drivers License with a clean drivers abstract satisfactory to the Corporation.
- Current WHIMS certificate
- Current knowledge of the Occupational Health and Safety Act
- Current First Aid and CPR certificate
- Physically able to carry out all aspects of the job
- A valid, current police background check is required prior to commencing employment

Physical/Psychological Demands and Working Conditions
Environment: Work is conducted in a shop/office environment with some exposure to criticism from the public. Exposure to inclement weather conditions, mechanical hazards, noise, and dust. Requirement to balance competing priorities, verbally communicate to exchange information, deal with constant interruptions and changing demands during the course of a working day; occasions whereby an extremely short amount of time is available to complete a project or task (regularly); wide variety of tasks requiring ability to manage multiple projects and make independent decisions (daily); while maintaining a pleasant, professional and positive demeanour.
Physical: Requirement for sufficient physical ability and mobility to work in an shop/office setting and in a field environment; to stand or sit for prolonged periods of time; to occasionally stoop, bend, kneel, crouch, reach, and twist; walk on uneven terrain, loose soil, and sloped surfaces; to lift, carry, push, and/or pull light to moderate amounts of weight; to operate office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard; to travel to other locations; to operate equipment and vehicle.
This is a full-time permanent unionized position. Normal hours of work are 40 hours per week. Flexibility to work weekends and after hours is required.
