FINANCIAL COORDINATOR

Permanent Full-Time | On-Site (Bracebridge/Huntsville)

Muskoka Women's Shelters and Services is a not-for-profit charitable organization which oversees two violence-against-women shelters and 10 transitional apartments in the District of Muskoka.

We are currently accepting applications for the position of Financial Coordinator. This is a fully on-site role based primarily at our Bracebridge location, with occasional travel to our Huntsville site. This position is 36 hours per week.

The ideal candidate will demonstrate the following:

Qualifications

  • 2-Year diploma in Business/Business Accounting (or equivalent combination of education and experience)
  • Minimum 3 years relevant experience
  • Experience in financial and statistical reporting and annual audit process
  • Experience with the Employment Standards Act, Occupational Health and Safety Act, and other employment-related legislation
  • Demonstrated experience with accounting programs (QuickBooks, Sage Accounting, or similar)
  • Experience working in a unionized environment
  • Demonstrated advanced proficiency in Microsoft Office applications
  • Ability to track, analyze data, and manage accounting information with accuracy and attention to detail
  • Sound judgment, problem solving and organizational skills
  • Strong interpersonal and communication skills (verbal and written)
  • Understanding of violence against women work and trauma-informed practices
  • Basic understanding of facility management and vendor coordination is an asset

Responsibilities

1)Financial & Accounting

  • Develop and maintain timely and accurate financial reports in accordance with generally accepted accounting principles (GAAP)
  • Ensure compliance with internal financial and accounting policies and procedures
  • Document and maintain complete and accurate supporting information for all financial transactions
  • Ensure that accurate and timely financial/statistical reports are prepared in accordance with Ministry of Children, Community and Social Services, and other funders
  • Maintain financial accounting systems for cash management, accounts payable, accounts receivable, credit control, and petty cash
  • Submit all financial information, reports, and records as requested or required by law to appropriate government officials and funders
  • Develop, monitor and report monthly on the organization's annual budget
  • Liaise with auditor on behalf of agency, and prepare documents for annual external audit
  • Ensure compliance with CRA Guidelines
  • Prepare budget sections and financial narratives for grant applications and funder reports
  • Provide financial analysis and forecasting to support strategic decision-making
  • Develop and maintain financial dashboards for Board and management reporting

2) Human Resources & Payroll

  • Payroll preparation, administration and CRA reporting for 25+ employees
  • Coordinate the administration of benefit plans
  • Maintain employee files and ensure HR compliance with employment legislation
  • Support recruitment processes including posting positions and coordinating interviews
  • Assist with onboarding of new staff (processing paperwork, benefit enrollment)
  • Participate in Collective bargaining, adhere to the CBA, participate in Labour Management Committee, and other committees as necessary

3) Administrative & Operational Support

  • Provide general administrative support services to Executive Director and management team
  • Review, development, and maintenance of finance-specific finance policies and procedures
  • Coordinate with building management, contractors, and service providers for facility maintenance issues
  • Assist with Health & Safety documentation, incident reports, and workplace safety initiatives
  • Maintain asset inventory and coordinate equipment purchases/repairs
  • Support fundraising initiatives with donor database management and receipting
  • Cover reception duties and administrative overflow as needed

4) Other

  • Attend staff meetings, board meetings (as required)
  • Participate in professional development opportunities
  • Other duties as assigned by the Executive Director to support organizational needs

The successful candidate will be required to provide:

  • Current Vulnerable Sector Check
  • Class G driver's license, access to a reliable vehicle, insurance and a clean driver's abstract
  • Start date: mutually agreed upon date in June/July, 2026

Hours of Work - 36 hours per week:  Options include a compressed 4-day workweek (9-hour weekday shifts) or a customized 5-weekday split tailored to school/family schedules

Note: Some flexibility may be required for month-end/year-end and audit periods.

Salary: $60,000 to $63,000 depending on qualifications and experience, plus a comprehensive benefits package, and Employer-matched RRSP (1.5%).
